Build With Romeo ("we," "us," or "our") builds ultra-fast websites and web apps with built-in automation, CRM systems, AI chat assistants, and analytics for service businesses. This Privacy Policy explains what information we collect, how we use it, and the choices you have when you use our website at https://buildwithromeo.com (the "Site"), book a consultation, or engage us for a project.
By using the Site or our services, you agree to the practices described here.
1. Who we are
For the purposes of data-protection law, Build With Romeo is the data controller for information collected through this Site. You can reach us any time at thewavingflag1994@gmail.com.
When we build and operate systems on behalf of a client (for example, a CRM, booking system, or AI assistant on their website), we act as a data processor for that client's end-user data, and the client is the controller. This policy covers our own Site and marketing; a separate data-processing agreement governs client projects.
2. Information we collect
Information you give us. When you submit our contact form, request a quote, or book a consultation, we collect the details you provide — typically your name, email address, phone number (if given), business details, and the contents of your message.
Information collected automatically. When you visit the Site, we and our analytics providers automatically collect standard technical data such as your IP address, browser type, device information, pages viewed, referring URLs, and interactions. This helps us understand performance and improve the experience.
Cookies and similar technologies. We use a small number of cookies and similar technologies for essential functionality, security, and analytics. You can control cookies through your browser settings; disabling some may affect how the Site works.
Information within client projects. If you are an end user of a website, CRM, booking system, or AI assistant we built for one of our clients, any personal data you submit there is handled on that client's behalf under their privacy policy, using our infrastructure.
We do not intentionally collect sensitive categories of data (such as health, biometric, or financial account data) through this Site.
3. How we use your information
We use the information we collect to:
- Respond to your inquiries and provide quotes and consultations;
- Deliver, operate, and support the products and services you engage us for — websites, web apps, automation, CRM, AI assistants, SEO, and analytics;
- Schedule and manage bookings and appointments;
- Send service-related communications and, where you've opted in, occasional marketing or educational content (you can unsubscribe at any time);
- Operate our AI chat assistant, which processes the messages you send it to answer your questions and qualify inquiries;
- Analyze and improve the Site's performance, security, and conversion;
- Comply with legal obligations and enforce our Terms of Service.
Our legal bases for processing include your consent, the performance of a contract with you, our legitimate business interests, and compliance with law.
4. AI-assisted content and features
Some content on our blog ("Insights") is generated with the assistance of AI and current web research, then published under our editorial oversight. Our on-site AI chat assistant uses a third-party AI provider to generate responses to your messages. We do not use the personal information you submit to us to train third-party AI models, and our providers process this data only to deliver the feature.
5. Service providers and subprocessors
We rely on trusted third parties to run our business and infrastructure. Each processes data only as needed to provide its service. These include, among others:
- Hosting & deployment (website and web-app hosting);
- Database (secure storage of Site and project data);
- Authentication (securing our admin dashboard);
- Email delivery (transactional and notification emails);
- AI provider (powering our AI chat assistant and content generation);
- Analytics (understanding Site usage);
- Scheduling / booking and CRM platform (managing appointments, leads, and follow-up);
- Image sources (openly-licensed imagery used in our content).
We may update this list as our stack evolves. We do not sell your personal information.
6. How we share information
We share information only: with the service providers described above; with a client where the data was collected on their behalf; when required by law, legal process, or to protect our rights and users' safety; and in connection with a business transfer (such as a merger or acquisition), subject to this policy.
7. Data retention
We keep personal information only as long as necessary for the purposes described here — for example, to respond to your inquiry, deliver a project, meet legal and accounting requirements, or maintain business records. When it is no longer needed, we delete or anonymize it.
8. Security
We use reasonable technical and organizational measures — including encrypted connections (HTTPS), access controls on our admin systems, and reputable infrastructure providers — to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. You can also opt out of marketing emails at any time using the unsubscribe link or by contacting us. To exercise any right, email us at thewavingflag1994@gmail.com and we will respond within the timeframe required by applicable law. We will not discriminate against you for exercising these rights.
10. Data ownership on client projects
When we build a website, CRM, or system for you, you own your domain, your content, and your customer data. We build on infrastructure registered to you wherever possible, so you are never locked in. See our Terms of Service for details.
11. International transfers
We and our providers may process information in countries other than yours. Where required, we rely on appropriate safeguards for such transfers.
12. Children's privacy
Our Site and services are intended for businesses and individuals aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.
13. Third-party links
Our Site and content may link to third-party websites we don't control. Their privacy practices are their own, and we encourage you to review their policies.
14. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we'll revise the "Last updated" date above, and material changes may be highlighted on the Site. Your continued use after changes take effect constitutes acceptance.
